1. Complete your hotel profile and meeting space details.

Clients are more likely to select hotels with descriptions, policies, attractions, photos, meeting space details etc. When you don't provide this information, the only thing our clients will see is the hotel name, address, rate and comments.

About 40% of our groups require meeting space, so if your property has meeting space make sure you have detailed them out at in our Meeting Space area of the site.

2. Respond to all group requests with your Best Rate Available.

Chances are that you have missed some of the leads we sent via email or you have not responded to groups already in the system when you signed up. Periodically, you should use the search page to make sure you have responded to all the pending requests in your area.

Also, if you don't have availability, you can place a "No Availability" response so the client will know you don't have availability over the dates requested and the request will show as "Responded" on your search results.

3. Check your lead notification settings.

You can customize your lead notification settings at anytime in your account settings section. This section will allow you to filter out smaller sized groups or very large groups in order to fit the number of rooms at your hotel. You may also change your requested minimum client budget in this section to insure you only receive high rated business.

Note: The minimum budget filter is not intended to be your lowest offered rate, since it will filter out based on the client’s budget. Since the majority of our client’s are first time meeting or event planners and on average accept rates from 20% to 40% higher than their requested budgeted rate. It is important to keep your minimum budget rate about 50% lower than your lowest offered rate.

4. Become a preferred hotel member.

Our preferred hotel members enjoy many benefits including:

  3. 9% commission instead of 10%
  4. Personal email recommending your hotel to each client searching group friendly hotels in your area
  5. Direct link from our website to your hotel’s website in our preferred hotel website directory
  6. Person to Person instruction for more effective group interaction
  7. Banner advertisement, top listing and photo at the header of our preferred hotel website directory

5. Place offers on groups in near by cities.

The system was designed to allow you to place offers in seconds. We encourage you to place offers on any groups looking for rooms in nearby cities if you think they would be a good fit.

Keep in mind that groups looking to be in nearby cities will not choose your hotel in more cases than not, but we encourage "cherry picking" leads that you think may consider your area.

6. Offer additional values in your offer comments.

Try offering an additional value in the offer comments section to the client. A free room, banquet space, room upgrade, coupon, or amenity package are some good suggestions.

7. Pay attention to the client’s needs.

The client request describes the type of group, banquet or meeting space, location, room types, and other special requests. Please add as much extra information in your response comments as you can that will help the clients know that your hotel fits their needs. If your hotel can not fit all their needs, please offer an alternative in your comments.

i.e. If your hotel does not offer food and beverage, then let them know you can help them make arrangements at a nearby restaurant.

Please take the extra time to read and answer the special needs of the request.

8. Sort offers by price to see how your offer ranks.

All reservation request offers can be sorted by price from lowest to highest to see which hotels are most competitive. Click on the "Sort By Price" link next time you view a request. You can also use the "My Price Rank" link found on each offer in your Account Summary. All prices and comments are strictly confidential between the hotel and client. After you have sorted by price, you can submit another offer if your offer is not as competitive as you would like it.

9. Multiple bidding with the same or different rate.

By keeping your rate the same and placing a new offer with new comments to the client, your offers become “blogs” which essentially allow you online communication with the client.

Feel free to lower or increase your offer on a group at anytime by submitting another offer. Your previous offer will be replaced by default. We encourage returning to a group request a week or 2 weeks later to see if you can spark interest.

Note: If you increase the rate in your new offer and choose to leave your old offer, the client will still be able to accept the lower offer when it is time for them to make their decision. You may delete any offer at anytime from your account summary.

10. Load in Citywide Events.

Load in information about citywide events happening in your area. If a group posts a group request over the same dates as an event we will notify them about the event taken place over their requested dates before they submit their RFP. The group may then request alternative dates if they are flexible for lower rates. We will link the citywide event information page to your hotel profile page and increase your hotel’s group score for every accepted citywide.
